Opening Statement:

Lance:
Thank you all for coming, I'm really excited to work with you all again. SEE was my life this summer, and I'm ready to get it up and running. I know I stated this on my video message, but I want to apologize again. School takes up a large amount of my life, and I think I've just found the balance again. So SEE is back, and here to stay now
My idea is. We can get everything working again by helping each other out. We can't do this without the next person. So, here's to all of you. Thank you for sticking with this even though things became dead for a month practically. So, here we are. Our first order of business, I think, should be a broad topic. We'll get into specifics soon. But, I need to raise the big, and most important question, I think, for this meeting. How do we get SEE back on the map? How to we emerge again, and establish ourselves as a serious organization? This is the problem that faces us initially.


Topics:

Administration
1) Chain of command (COC)
*BOD-->CEO & President-->VPs-->Departments-->Teams
***Agreed reason: flexibility and overlap of duties ensure that if someone is missing or busy, then there is always someone else above them to turn to. It also ensures a steady line of communication. Theoretically, a model like this will regulate itself without too much top down influence, allowing autonomy.
***President and CEO would split duties of Fiscal+Organizational and Creative management duties.

2) Accountability system-how to ensure projects are moving forward
In General:
*Flexible timelines with weekly reports and meetings with a line of command (COC)
*Use of Twitter, Facebook, and other media to maintain network connection
*Calendar of events that we can project into the future—not yet formalized

*Utilizing the COC:

***Departments
*****Department Heads
*****Department Heads duties:
*****Would give a brief—a short summary report of what they have accomplished or what challenges they faced that week—to the secretary weekly.
*****Hold brief weekly meetings to delegate tasks and information to Team Members (if possible by email or through IRC chat)
*****Everyone on the Team holds everyone accountable
*****Every team member needs to give info to department heads
*****Use email to network Teams

***Teams
*****hold their own meetings once a week so that they work on their agendas, and have something to turn into their Dept Heads.

*General members
***can go to general meetings and vote on any issues or positions up for vote
***add thoughts to project Team members via Ideas Forum and email
***are updated through newsletters or events tabs on Forum.
***Any General Member could potentially become a Team Member, but any one Team size is determined by several factors.

*Secretary
***job would be to maintain contact with the system and collect and organize the data.
*****External influence key to coordination, so when Department Heads are busy working their teams, they only have one person to report to collectively.
*****The Secretary should be an elected position determined by October.
*****General duty: Secretary needs to be the glue that holds everyone together
*****Duty detail: Compile Reports from Dept Heads into one report overview and distribute them. This data would be used to create Team and General newsletters.
*****Organize and post Meeting Notes
*****General Meetings would use information compiled by the Secretary as well as talk about overall progress and issues.

3)Use of Forums for Business
*Due to the wide variety of people’s availability, there will be a Business section locked for use by those members involved in teams (Usergroups).
*The main page will primarily continue to function as a marketing and community tool for suggestions, news/announcements, general discussion

General goal of SEE
*Evaluation of the meaning of the mission goal among members
*Discussion of the meaning and role of media and targeting
***General or Narrow sense of mainstream media (MMM)
***First target has been Sci/Fi
*****Because there has been a push with JJAbrams to make the new Trek mainstream, it was determined that keeping the first project on track (SEETrek) would have potential to make a wider statement about LGBT inclusion in MMM.
***Other branches of media are to be discussed for potential targeting in the future

Website appearance
Updated to include a more professional appearance
*Still keeping it “fun” to fit our constituency and audience
***Cutting down on graphics
***Using clearer, less dense text
***News blog embedded in website
***Information updated to be current on a regular basis
*** Embedded Twitter updates
***The SEEeye is still the official logo (SEE eye to eye?)
*** Links to Facebook, Twitter, and Forums

Promotion
*Asking Lanaea to have our purpose updated on her website
*Video introduction
*Viral Video
*Letter campaign
*Vlog
*Member video
*GSA (Gay Straight Alliance) at Lance’s school (since it is already embedded in the community)—creation of a persuasive speech

Thanks for posting this! Looks like the meeting was productive and that you came up with a great structure for the organization. I can't wait to get involved with upcoming projects. (So sorry I wasn't there; I was moving into UCLA...) This can be my #1 extracurricular hahaha!

Oh wow... this is great! I'm so excited. :3 I'll get started on getting the writing team organized right away. I'm so mad at myself that I missed the meeting. X.x But we're rolling again, so I'd better get to work. XD

Awesome! Glad you posted. I attended, and it's nice for me to see everything compiled and clear. That meeting was crazy productive! Lol, it was approx. 3 hours long. :g
